  1. Food-cooler reserve: Ice or frozen gel packs needed to hold meat, dairy, prepared dishes, leftovers, and other perishables cold.

  3. Serving ice: Clean ice that will go directly into cups.

"Do you have unopened bagged ice available now? What bag sizes do you have, how many bags can I buy, and are you open for pickup?"

Ask whether the ice is suitable for drink service if you need serving ice. A restaurant may have machine ice for its own operation, but that does not make it a reliable source of clean, unopened ice for guests.

If you find several bag sizes, write down the bag weight and number available before deciding where to go. That prevents the common mistake of buying enough ice for a drink tub but not enough to protect the food cooler.

Set up separate zones for food, drinks, and serving ice

One crowded, frequently opened cooler has to do too much. A better emergency setup is three zones:

1. Food cooler: least opened, most protected

Put sealed perishables in the cooler that guests will not access. Keep a thermometer inside and check that it remains at 40°F or below.

For better ice retention, a cooler can be packed with roughly two-thirds ice and one-third food or drinks. Treat that as a packing guideline, not a food-safety guarantee: the thermometer is what tells you whether the food is staying cold enough.

If the cooler cannot hold both the food and enough ice, use a larger cooler or reduce what goes inside. Raw meat should be kept in waterproof containers or double-bagged to prevent leaks.

2. Drink cooler: open often without risking the food reserve

Put cans, bottles, and self-serve beverages in a separate cooler or tub. This keeps guests from repeatedly opening the food cooler, which can help the food cooler retain ice longer.

Pre-chill drinks and food in the refrigerator before packing whenever possible. Starting with cold items reduces the immediate burden on the cooler ice.

For longer chilling, block ice can be useful because it generally melts more slowly than cubes. Use it to keep packaged drinks or food cold---not as a replacement for clean cubes in guests' cups.

3. Serving-ice zone: clean, closed, and hands-off

Keep unopened bags of serving ice in a clean cooler or clean container until needed. Use a clean scoop or tongs rather than hands.

Never serve ice that has contacted:

  • Raw-food packaging or seafood packaging
  • Dirty cans or bottles
  • Cooler meltwater

Use substitutes for chilling, not for every job

Monitor the food cooler---not just the amount of ice left

A cooler can still contain ice while food is warming above the safe holding temperature. Check the cooler thermometer periodically, especially after it has been opened or moved.

If the temperature is climbing above 40°F, act immediately:

  • Add ice or frozen gel packs.
  • Move the food to a colder cooler or functioning refrigerator.
  • Stop opening that cooler except when necessary.
  • Consolidate food into the coldest available space rather than spreading it among half-filled coolers.

Power-outage guidance is useful only in its proper context. During an outage, a closed refrigerator can keep food safe for up to four hours. After four hours without power, refrigerated perishables such as meat, poultry, fish, eggs, and leftovers should be discarded. That is not a promise that a frequently opened party cooler---or an already-warm refrigerator---will stay safe for the same period.

Do not taste food to decide whether it is safe after a temperature-control problem.
